Setting Realistic Expectations for Your Community

As we head into the new year, we are all setting our expectations for what we want and how we will accomplish our goals in 2021. New years resolutions are something most people start off with high expectations but can occasionally fall flat if they aren’t realistic goals. Similar to how all community associations are different, the expectations that your board or owners have for the new year can be different. Management companies can provide support but really understanding what your needs are and how can your community partners help meet those needs is important. Before you choose a new management company or even if you only want to evaluate your current company, start first with determining what items are most important to your community. How does the management company handle those tasks?

Take a look at these common expectations and what to ask of them.

 

Get Everyone on the Same Page

The first thing to do is set a meeting where everyone can get together to ask questions and understand what you expect of management duties. This should include the homeowners as well so they know what the management rules are.

In the age of quarantining and more social distancing, perhaps this means meeting virtually to discuss these matters. It’s easier than ever to do this nowadays, but everyone needs to understand what their responsibilities are. If you have some new responsibilities going beyond what property managers know, be sure to get it in writing.

Amending agreements should always be done when everyone is available to discuss them. Once everyone understands their roles, it becomes a new contract everyone should have available to refer to physically or digitally.

Setting the Responsibilities of the Management Team

A lot of opinions are out there about what managers should do while working with your association. Consensus is they should focus on four areas:

  • Guide the board to fulfill legal requirements.
  • Make all financial decisions.
  • Work closely with the board on decisions.
  • Provide suggestions to the board based on experience.

In the case of legal requirements, it usually means the management company assures the board deals with taxes appropriately. And, of course, they have to make sure your association continues to operate legally, including living up to state civil codes and local statutes.

Financial decisions should involve complete transparency with your association to make sure money gets spent in the smartest possible ways.

The partnership angle means helping your board make sound decisions that benefit everyone involved. Because your board might change over time with new members, the management team should have all ability to adapt to those changes in communication.

Listening to suggestions from an experienced management team also needs top priority. They can suggest things your board overlooks based on dealing with past associations.

 

Methods to Help Eliminate Vacancies

Your association and the management team want as many low vacancies as possible. Allow the management team to take this on since they have experience in this area. However, communicating to them that it’s their responsibility needs doing early.

One of those expectations is management knowledge on how to take on marketing for your properties, particularly on social media. No management team is worth working with if they never have experience doing digital marketing to attract tenants.

They should also handle rent applications, screening, and lease signing processes and Collections for the fees not paid by owners

 

Working Together On Other Responsibilities or Concerns

Some things you and the management team have to work together on include maintenance and repair approval, management salary payments, property tax/utility payments, and insurance payments.

Other times, management teams think they have to take on things that are not their sole responsibility. Perhaps this relates to dealing with cars speeding down neighborhood streets, or solving crime issues. Those usually fall toward city responsibility, plus the police in the case of crime.

All these issues need addressing early so there never is confusion on which thing each group focuses on. Since the unexpected will always come up, everything needs mentioning in writing to avoid stalled communication issues when an emergency arises.

How Often Should Water Quality be Tested in Lakes & Ponds?

Balanced water quality is extremely important for all lakes and ponds, and proactive testing and monitoring is vital when it comes to helping prevent water quality problems in recreational lakes, stormwater pondsfisheries, and drinking water reservoirs. Property owners often wait until an algal bloom, fish kill, foul odor, or other negative water quality problem occurs before implementing a basic water quality management program. This can have dire consequences.

 

Proactive Water Quality Testing and Monitoring

Poor water quality can quickly lead to an unbalanced ecosystem, which not only threatens the natural ecology and recreational use of a waterbody, but can also affect surrounding waterways. Take the well-known toxic algal bloom that occurred in 2016 in Florida’s Lake Okeechobee. This catastrophic bloom released cyanotoxins into waterways and beaches along the Treasure Coast and surrounding regions. In addition to suspending boating, fishing, and swimming activities throughout South Florida, the dangerous bloom also posed a serious threat to the health of residents, tourists, pets, and wildlife. While a number of unique factors contributed to the development and spread of this harmful algal bloom, it is clear that water quality problems in our lakes and ponds can rapidly turn into ecological nightmares.

 

Understanding When to Test Your Water Quality

With proactive water quality testing and monitoring, it’s important to know where and how often water quality should be sampled. The use of the waterbody and surrounding land dictates how often water quality should be sampled, and individual waterbody management goals also affect the rate at which water quality is monitored. Water quality should be monitored during the season that supports plant and algae growth. The smaller the pond, the easier that water quality is influenced. Thus, monitoring should be performed more frequently for smaller waterbodies.

For larger lakes and ponds, water quality sampling frequency is determined more by waterbody’s benthic contours, inlets, and potential runoff from high-use areas such as farm fields, beaches, and heavily manicured lawns. Multiple sampling sites are typically located within a larger waterbody, depending on the breadth of external influences. Sampling multiple sites across several dates throughout the year can help identify localized areas within the lake or pond that are experiencing impaired water quality.

Fisheries, especially when managed for the growth of trophy sport fish, are a prime example of specialized recreational use, and frequent testing is crucial to a successful fisheries management program. Disciplined water quality monitoring that’s focused on desirable plankton production and available habitat can indicate how to further build and support the fishery. The forage-base in a fishery is also important and plankton sampling can help dictate how to manage or supplement the plankton population in order to help maintain the desired productive fishery.

 

Paragraph 6 - No matter the shape...How Often Should Water Quality be Tested

No matter the shape, size, or use of a waterbody, a proactive annual sampling of baseline water quality conditions is recommended. A proactive approach to water quality testing and monitoring helps to document annual trends occurring within the waterbody and acts as a reference for emerging water quality impairments. For many, water quality sampling is a reaction to the lake or pond’s condition. Proactive monitoring, though, ultimately gives us a better understanding of the processes occurring within the waterbody and helps us identify potential problems before they occur.

Office buildings are generally classified into one of three categories: Class A, Class B, or Class C. Standards vary by market, and each category is defined in relation to its counterparts. Building classification allows a user to differentiate buildings and rationalize market data — that said, classification is an art, not a science. While a definitive formula for each class does not exist, the general characteristics are as follows:

Class A
These buildings represent the newest and highest quality buildings in their market. They are generally the best looking buildings with the best construction, and possess high-quality building infrastructure. Class A buildings also are well located, have good access, and are professionally managed. As a result of this, they attract the highest quality tenants and also command the highest rents.

Class B
This is the next notch down. Class B buildings are generally a little older, but still have good quality management and tenants. Oftentimes, value-added investors target these buildings as investments since well-located Class B buildings can be returned to their Class A glory through renovations such as facade and common area improvements. Class B buildings should generally not be functionally obsolete and should be well maintained.

Class C
The lowest classification of office building and space is Class C. These are older buildings and are located in less desirable areas and are often in need of extensive renovation. Architecturally, these buildings are the least desirable, and building infrastructure and technology is outdated. As a result, Class C buildings have the lowest rental rates, take the longest time to lease, and are often targeted as re-development opportunities.

The above is just a general guideline of building classifications. No formal standard exists for classifying a building. Buildings must be viewed in the context of their sub-market; i.e., a Class A building in one neighborhood may not be a Class A building in another.
